Job Description

The medical assistant is responsible for providing the necessary services to support the physicians and to keep the facility running smoothly. Reporting to the Operations Manager, the medical assistant will be an integral member of the clinical team, working together to provide superior care and service a panel of gastroenterology patients.
The medical assistant will be expected to have a global view of the day and support the patient, provider, and other members of the GI team to provide patients with comprehensive/effective visits and complete the tasks of the day as efficiently as possible.
Active participation in patient care including rooming patients and performing phlebotomy including proper identification and handling of specimens ; assists with preliminary visit by confirming patient’s full name and date of birth, and documenting current medications and prescriptions that need to be renewed; measures and documents patient vital signs in the electronic medical record ( EPIC); instructs patient how to prepare for the physician, assisting as necessary; anticipates and sets up special equipment and/or supplies needed for the visit; alerts physician when patient is ready and communicates pertinent clinical information; assists patient through check-out process, if applicable, when visit is complete.
Coordinate practice activities with physician and team to insure appropriate level and quality of services including maintaining supplies of medications, vaccines, and equipment.
Confirms new patient appointments and reviews medication list in advance.
Pre Visit responsibilities includes proactive coordination and preparation of outside medical documents and lab results are in Epic, patient’s medical chart. Uploads images and ensures records are available prior to the start of each clinic day. Post Visit responsibilities include following up on labs, imaging and tests are ordered in preparation for next visit.
Obtain prior authorizations for radiology studies.
Overall responsibility for the flow of the providers’ patient care sessions. Providing needed information to the front desk staff concerning the work flow in the patient care area and keeping the provider informed of any issues that affect the efficiency of the clinical flow. Accurately uses the EPIC Patient Tracking system and Wait Time Board.
Demonstrates a strong sense of shared responsibility to maintain a clean environment by ensuring exam rooms are clean and appropriately stocked with supplies on a daily basis.
Demonstrates a strong sense of shared responsibility in maintaining clinical equipment including vital sign machines, scales and V Pop machines.
Responsible for contacting Bio-Med for any broken machines that is registered with the Bio-Medical Engineering department.
Covers medical assistant shortages in other areas of GI as needed.
Promotes patient/customer satisfaction by interacting with patients and coworkers in a professional and courteous manner.
Graduate of an accredited Medical Assistant program Associate’s Degree required. Minimum of 2-3 years experience in a medical or healthcare setting, with specific experience in the outpatient/ambulatory care setting.
Self-motivator. Requires a high level of empathy, compassion and confidentiality. Ability to take initiative and exercise judgment required.
Works well both independently and as part of a team.
Good command of the English language, including medical and scientific terminology.
Demonstrates intellectual independence and initiative and has a desire to learn and develop new skills and better methods of completing work efforts.
Flexibility and proven ability to handle multiple tasks. Must have the ability to function in a fast-paced environment and manage competing demands effectively.
Experience with common PC computer software including Microsoft Word, Excel, and Outlook.
Comfortable in a practice environment/culture that promotes ongoing change toward process improvement.
Phlebotomy experience preferred. Perform ancillary services including EKG, urinalysis, stool guaiac testing and all others as directed by provider.
Shared responsibility for orienting all newly hired and temporary Medical Assistants.
Ability to travel to offsite practices for coverage, meetings or training.
Intermediate to advanced PC skills (MS Office, Windows) required. Prior experience with MGH systems (EPIC, Outlook) helpful but not essential.
Prior experience working directly with physicians.
Experience in working in a large, complicated organization is a plus.

Exceptional computer skills (including word processing, database, electronic mail, internet, and spreadsheets) required. Proficient with Microsoft Office suite, Outlook, Excel and PowerPoint.
Strong communication, interpersonal and leadership abilities.
Ability to work with physicians and relate to their concerns on a one-to-one and group basis.
Excellent interpersonal skills.
Ability to work independently or in a team environment
